TITLE: Administrative Assistant/Project Coordinator Non-Exempt DEPARTMENT : Administration SHIFT: Days REPORTS TO: Chief Financial Officer (CFO) Overview Executive Assistant that includes the role of Project Coordinator for the Director of Construction and Development (DCD) and administrative assistant to senior management staff (President, CEO, and CFO) Project Coordinator Responsibilities Organize Files and Project Related items Meet with DCD to address open items related to the project Administer Contracts created by DCD Be in Contact with Subcontractors about Payments, Invoices, and insurance tracking Create tracking matrix and spreadsheets for DCD to track project progress Type minutes from project meetings for DCD Type and Distribute Project Reports created by DCD from Project Reviews Review subcontractor invoices and Route to DCD for approval. Assist in the creation of monthly owner invoices for active projects. Track payments from owners and to subcontractors throughout month.
